Registration

Registrations will be done online through the Online Registration Form (TBA). Participants may pay instantly using their credit card, or they may choose to pay through Bank transfer. An one-stop web system is used for the entire registration process. The process is easy to use, totally secure and can be completed in a few minutes. Please note that participants may not only register for the conference, but they can also book their accommodation, transfer, etc. All additional services are offered at specially conference negotiated rates.

All reservations, including the social programme and accommodation, should be made on the same form, including the events that are covered by the conference fee. Please make sure that you receive an automatic reply for your registration as proof of a successful registration. If you have registered more than one person at the same time, the automatic reply will be sent to you only.

Registration & Social Events Fees

The registration fee is based on the date of registration.

  • Early-bird registration, members (deadline April, 30th): 270 €
  • Late registration, members: 340 €
  • Registration, non-members (Join LIBER): 540 €
  • Day tickets: 120 €
  • Accompanying person: 80 €
  • Conference Dinner: 60 €
  • Excursion to Ancient Olympia: 40 €

Registration fee for members and non-members includes:

  • Full participation in the entire Conference Program and Receptions
  • Admission to the professional exhibition
  • Conference registration material
  • Lunch and coffee breaks on Conference days
  • Local Transportation (Hotels – Conference & social events venues)
  • Reception on 06/07/2017 (registration needed)
  • Workshops (registration needed)
  • Possibility to register to other social events by paying the appropriate fee

Note: The registration fee does not cover insurance or accommodation. The organizers recommend travel insurance.

Registration fee for Day attendance includes:

  • Participation in the Conference Program on the day in question
  • Conference registration material
  • Lunch and tea/coffee on the day in question
  • Reception on 06/07/2017, if this is the day in question
  • Possibility to register to other social events by paying the appropriate fee

Important note: Day registrations may only register for one-day attendance and cannot register for the whole Conference as three separate days.

Registration fee for accompanying persons includes:

  • Participation in the Conference Program and Receptions
  • Admission to the professional exhibition
  • Lunch and coffee breaks on Conference days (participation to be indicated on the registration form)
  • Local Transportation (Hotels – Conference & social events venues)
  • Reception on 06/07/2017 (registration needed)
  • City sightseeing tour
  • Possibility to register to other social events by paying the appropriate fee

Payment

All payments (registration fees, social programme and hotel accommodation) must be paid before attending the conference. You will always receive a confirmation/receipt of paid expenses by email. If you have not received it, please contact PCO CONVIN at fmilionis@pco-convin.gr. The conference delegate is responsible for all bank charges. On the registration form you can choose between two payment options:

  • Credit card (VISA, Master Card)
  • Bank transfer

Important note: Bank charges are the responsibility of the payee.

Our conference management office, PCO CONVIN, will send you a confirmation by email after receiving the registration and payment. We kindly ask you to check that all your details and reservations are correct. You will be asked to present your confirmation at the registration desk when you arrive.

Registrations – Cancellations and Refunds

All cancellations and changes must be made in writing to PCO CONVIN at fmilionis@pco-convin.gr. Authors who wish to cancel their registration by April 30th 2017 in case of non-acceptance of the abstract will receive a 100% refund. Other requests received by April 30th 2017 – a full refund will be given minus 50 € administration charge. No refunds will be given after May 1st 2017. There will be no refund for no-shows. Insurance to cover the loss of payment for registration fees and accommodation costs is highly recommended by the organizers.

Please note that for organizational reasons possible refunds will be made after the Conference. All refunds will be made at the exchange rate applicable on that date. Neither the organizers, nor PCO CONVIN can be held responsible for any loss resulting from alterations in exchange rates. To receive your refund, please send full bank account details to PCO CONVIN.

Accommodation – Conditions, Cancellations and Refunds

  • Room rates quoted in Euro, per room, per night, including Buffet Breakfast and all applicable taxes.
  • Check-in time is 14:00; check-out time is 12:00.
  • The above mentioned rates are valid only from July 1st 2017 until July 10th 2017. Any extension will be handled upon request.
  • A deposit of one (1) night accommodation is mandatory for any reservation.
  • No reservation will be handled without the accommodation form fully completed and accompanied by the full credit card details or bank transfer receipt for the payment (1 night deposit or full payment).
  • A pre-booking confirmation will be sent by email within 5-7 working days of the properly filled in accommodation form receipt and relevant payment. The final confirmation will be sent after full payment has been received
  • No fee is charged for written cancellation until May 12th.
  • Any cancellation or alteration of dates (unless the alteration of dates is agreed and confirmed by the hotel) made from May 13th until June 8th results in a charge of one (1) night deposit.
  • No refunds will be made for any cancellation/non-show/early departure after June 9th.
  • All cancellations should take place in writing (via email). The customer cannot derive any rights from a verbal cancellation.

General conditions

  • Rooms are available from July 1st 2017 until July 10th 2017. All other dates are upon request and subject to hotels’ availability.
  • A deposit of one (1) night accommodation is mandatory for any reservation.
  • The full payment must be completed before June 8th otherwise the Organizing Secretariat will have the right to cancel the reservation.
  • Bank charges are the responsibility of the payee.
  • In case of change of the arrival date, or check-in time, please inform the Organizing Secretariat in advance, so that your reservation will not be considered as non-show. Alterations in the total days of stay will be subject to the cancellation policy mentioned above.
  • In case taxes and / or VAT change, the Organizing Secretariat reserves the right to change the rates accordingly.
  • All bank charges associated with any refund will be the responsibility of the participant.
  • Please advise the Organizing Secretariat for any special requirements you may have (disabled person, specific dietary requirements, non-smoking room etc.)

Phishing Awareness

You are strongly advised to be alert for unauthorized agents who may contact you directly by email or phone, offering their services. PCO CONVIN is the only authorized agency, as the officially appointed conference secretariat.
